1) Who we are
“We”, “us” and “our” refer to Doctecq Technologies, the provider of the Doctecq Clinic Software (“Service”).
2) Information we collect
- Account & clinic data: clinic name, logo, address, doctor names, registration numbers, working hours, contact numbers, email.
- Usage & operations data: appointments, billing summaries, prescriptions, notes, uploaded files/letterhead.
- Technical data: device/browser information, IP address, pages viewed, timestamps, diagnostics, and logs.
- Communications: messages you send us on WhatsApp/email and support recordings/screenshots you choose to share.
- Payments: payment status/metadata from the gateway (amount, time, success/failure). We do not store full card details.
3) Why we collect it (uses)
- Provide and operate the Service (appointments, Rx, billing, reminders, Patient App, AI features).
- Set up your account and customize your clinic (letterhead, services & fees, users & roles).
- Support, troubleshooting and security (detect abuse, prevent fraud, maintain audit trails).
- Service improvement, analytics, and product announcements relevant to your use.
- Billing, invoicing and statutory compliance.
4) Legal basis / consent
We process data with your consent and to perform our contract (provide the Service), meet legal obligations, and pursue legitimate interests (security, service improvement). Where required, we obtain consent for communications or optional features.
5) WhatsApp, SMS & emails
- Doctecq enables you to share messages (e.g., appointment reminders, invoices, prescriptions) via your clinic’s WhatsApp/SMS/email accounts.
- Message content you choose to send is controlled by your clinic. Telecom provider and WhatsApp policies apply.
6) Cookies & similar technologies
- We use essential cookies for login/session and basic analytics to improve reliability and performance.
- You can control cookies via your browser settings. Blocking essential cookies may impact the Service.
7) Payment processing
- Online payments are processed by Razorpay (India). They may collect payment instrument details directly.
- We receive confirmation, amount, and status to activate your plan and issue a GST invoice.
8) Sharing & disclosures
- Service providers: trusted vendors for hosting, security, analytics, communications, and payment processing.
- Legal: if required by law, regulation, legal process, or to protect rights, safety, and security.
- We do not sell your personal information.
9) Security
- Encryption in transit (HTTPS/TLS) and at rest for stored records.
- Role-based access; least-privilege for internal operations.
- Backups and monitoring to protect availability and integrity.
- You’re responsible for safeguarding user credentials and devices.
10) Data location & transfers
We primarily host in India or nearby regions. If data is processed in another jurisdiction by a vendor, we take reasonable steps to protect it in line with this Policy.
11) Retention
- We retain data for as long as your plan is active and as needed to provide the Service.
- After termination or on request, we delete or anonymize data subject to legal retention requirements.
- Exports are available on request during the active term.
12) Your rights
- Access & export: request a copy of your clinic’s data (available during the active term).
- Correction: update clinic information and user profiles.
- Deletion: request deletion of personal data, subject to legal retention requirements.
- Consent management: you may opt out of non-essential communications.
13) Children’s data
The Service is intended for clinics and their staff. It is not directed to minors for personal sign-up. Clinics remain responsible for lawful collection of any patient information per applicable law.
14) Third-party links
Our website/app may link to third-party sites and services. Their privacy practices are governed by their own policies.
15) Changes to this Policy
We may update this Policy from time to time. Material changes will be posted here with an updated date. Continued use of the Service means you accept the updated Policy.
